Payables real-time

Payables, ready to pay in real time.

Cortena does not move the money, it gets your payables ready to pay. Every invoice is coded, validated, and payment-ready in real time, then connected to your payment platform. Your team never hunts for an invoice again.

How payment run preparation works

One run, every invoice ready to pay

Cortena prepares each invoice for payment: it pulls the data, catches the discounts worth taking, and validates the details that matter. Every one arrives payment-ready in the platform you choose. Here is each part, shown as it appears in the product.

Select many invoices, prepare one run

Tick the invoices that are approved and coded, then prepare them as one payment run. Cortena queues everything that is ready and skips anything that is not, so a missing bank detail never blocks the rest of the batch.

Queued and skipped invoices are listed before you confirm.

Checked before it pays

Every invoice clears the checks before it can be paid

Nothing enters a payment run until it passes. Compliance comes first: the VAT ID is validated against the VIES registry and the supplier IBAN is checked to exist. Then the numbers, line items reconciled to the invoice total and every required field present. Anything that fails is held back, never paid.

Fraud and compliance checks run on every invoice.
Locked in flight

Amounts lock once the run leaves. Coding stays open.

The moment a payment run is sent, the amount on each invoice is locked. Nobody can change what gets paid while money is moving. The bookkeeping fields, account, cost centre and VAT key, stay editable, so your team can keep tidying the coding without touching the payment.

One value locks. The rest of the invoice keeps working.

Confirmation and export

Confirmed payments post back to your ledger

When the bank confirms each payment, Cortena marks the invoice paid, writes the confirmation to the processing log, and prepares the batch for export. The paid invoices then post to DATEV, Exact Online or Twinfield, and your treasury view updates.

Every step is timestamped in the per-invoice processing log.
Making the payment

Pay through the platform you already use

Cortena gets every invoice payment-ready, then sends it out through the platform you already run. It does not move the money itself, it connects to the ones that do.

Accounting tools

DATEV Unternehmen Online, Exact Online or Twinfield. All the data lands posted and ready for payment runs.

Treasury partners

We talk to treasury tools both ways: send the run out to pay, then pull the confirmations back before accounting posts.

Expense partners

Make payments through your expense management partners.

Direct bank exportSoon

Export XML SEPA files straight to your bank, no middle layer.

Payments FAQ

Questions finance teams ask about paying from Cortena

  1. Yes. Payment run preparation is live and enabled per tenant, and we are onboarding new tenants continuously. Book a demo to get set up.

  2. You select approved, coded invoices and prepare them as one batch. The run goes out through a connected treasury tool, the Embat integration is one example, and Cortena tracks each payment from sent to confirmed and writes every step to the processing log.

  3. They are skipped, not paid. Before you confirm a run, Cortena shows a queued and skipped report, so an invoice with a missing IBAN or an open approval never blocks the rest of the batch.

  4. No. The amount on each invoice locks the moment the run leaves, so what gets paid cannot change while money is moving. The coding fields such as account, cost centre and VAT key stay editable.

  5. Once the bank confirms a payment, Cortena marks the invoice paid and prepares the batch for export to DATEV, Exact Online or Twinfield. Your treasury view updates at the same time.

  6. No. Prepared payment runs go out through your existing banking via a treasury connection such as Embat, and everything happens inside Cortena. You approve, code and pay in one place instead of re-keying into a separate banking tool.
